DEPARTMENT: Office of Distance Education

REPORTS TO: Director of Distance Education and Instructional Design

CLASSIFICATION: Staff-12 months

STANDARD WORK HOURS: 37.5 hours per week

EMPLOYMENT STATUS: Full-Time

JOB SUMMARY:

The Budget Manager for KYSU Online is responsible for overseeing the financial management of the university’s online programs. This includes budgeting, forecasting, and financial analysis to ensure that resources are allocated effectively to support the growth and sustainability of online offerings. The Budget Manager for KYSU Online works closely with the finance department, online program leadership, and other university stakeholders to manage expenditures, analyze costs, and ensure that the program operates within budgetary constraints while meeting strategic goals

ESSENTIAL JOB FUNCTIONS:

  • Manage the annual budget for the university’s online programs, ensuring alignment with the institution’s overall financial strategy and goals.
  • Prepare, analyze, and distribute financial reports on the performance of the online programs, including revenue, expenses, and forecasts.
  • Monitor and control the allocation of resources for online courses, technology infrastructure, student services, and staffing.
  • Develop financial models to project costs and revenue streams associated with online program growth and new initiatives.
  • Provide financial oversight for online program-related expenses, including faculty compensation, marketing, technology, and student support services.
  • Collaborate with the finance department to ensure accurate tracking of expenditures, compliance with university policies, and adherence to financial controls.
  • Advise online program leadership on budgetary matters, including cost-saving measures, investments in technology, and resource allocation.
  • Support the planning and execution of long-term financial strategies to grow the university's online programs.
  • Lead efforts to streamline financial processes related to the online program, ensuring efficient use of resources and reducing unnecessary costs.
  • Assist in preparing reports and presentations for senior leadership on the financial health and sustainability of the online programs.
  • Coordinate financial audits and reviews to ensure the accuracy and integrity of online program financial records.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Budgeting and financial analysis expertise: Strong understanding of budget development, financial forecasting, and cost control, particularly within an educational or online learning environment.
  • Analytical skills: Ability to interpret financial data, identify trends, and make recommendations to improve financial performance.
  • Technical proficiency: Familiarity with financial management systems, online budgeting tools, and Excel or other data analysis software.
  • Problem-solving: Ability to identify potential financial risks and develop solutions to address budget shortfalls or inefficiencies.
  • Attention to detail: Accuracy in financial reporting, auditing, and maintaining budget documentation.
  • Communication skills: Ability to present complex financial information clearly to non-financial stakeholders, including online program staff and leadership.
  • Collaboration: Ability to work across departments, including finance, online learning, and IT, to manage the online program budget.
  • Project management: Strong organizational skills and the ability to manage multiple financial projects simultaneously, meeting deadlines.

SUPERVISORY RESPONSIBILITY

  • The Online Budget Manager may supervise financial support staff or budget analysts who assist in managing the budget for the online program.

OTHER DUTIES:

  • Stay current with trends in online education, including cost-saving measures, funding opportunities, and financial management best practices for digital programs.
  • Participate in financial planning meetings, university committees, and online program leadership discussions.
  • Perform other related duties as assigned by university leadership.

QUALIFICATIONS:

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (Master’s degree preferred).
  • 3-5 years of experience in budgeting, financial analysis, or financial management, preferably in an educational or online program setting.
  • Experience with financial management systems and online budget platforms.

WORKING CONDITIONS AND PHYSICAL EFFORT:

  • Work is typically performed in an office setting or remotely.
  • Minimal physical effort is required.
  • Some work outside regular business hours may be necessary during budget planning cycles or to meet deadlines.
