Summary:

Provides administrative and operational support to the Facilities Management program, including vehicles, properties, and facilities across the Sandy Valley and Cumberland Valley regions. Assists with regulatory compliance, supports budgeting and documentation processes, and serves as a key liaison between Facilities and other internal programs to maintain safe, efficient, and compliant operations

Essential Job Functions:

  • Provides administrative support to the Facilities Director, Managers, and other staff as needed, including assistance with budgeting, staff meeting preparation, and onboarding coordination with Human Resources. Oversees and updates GoCanvas digital forms, handles internal invoice coding, and maintains key documents such as deeds and property files. Collaborates with programs such as Finance, Risk Management, HR and IT for tasks including inventory tracking, insurance documentation, and project-related updates. The coordinator also serves as a backup for other regions administrative roles when needed.
  • Monitors compliance for all CAP vehicles in assigned regions, maintaining accurate records for registrations, titles, inspections, and recalls. Maintains vehicle spreadsheet, performs billing and expense coding, and ensure emergency kits are properly assembled and distributed.
  • Supports facilities operations by maintaining access systems such as keys, locks, and FOBs, and coordinating utility services for all properties. Assists with security camera and equipment setups and ensures secure access to CAP buildings. Maintain facility inventories and research, file, and update important property documents, including leases and registrations. Provides support for physical site access and regional facility needs.

Qualifications

Education:

High School Diploma or Equivalent General Studies Required

18 Months of Additional Training in a Related Field Required

Associates in a Related Field Preferred

Years of Experience:

4 years of successful experience in related field or combination of education and experience

Certifications and Licensure:

Possess a Valid Kentucky Driver's License and Maintain a Safe Driving Record Required

CAP Driving Certification* (or ability to obtain within first 90 days) Required

*In order to drive personal vehicle on CAP business, must obtain and maintain a policy of motor vehicle insurance coverage on privately-owned vehicle with insurance coverage amounts of $50,000 bodily injury per person per accident; $100,000 bodily injury for all bodily injuries per accident; and $50,000 property damage per accident.

Physical Requirements:

Ability to reach, push, pull, bend, stoop, stand, walk

Lift 45 lbs

Lifts/moves items with unknown weight or that are awkward shapes and sizes with assistance

Sit for extended periods of time

Have good visual acuity with corrective lenses
