Overview

The Health Information Administrator is responsible for preparing medical records and maintaining a central file which documents the course of patients' illnesses and treatments during a particular episode as a patient, preparing statistical reports, and providing information to authorized persons.

Responsibilities

Supervise the preparation of Medical Records and assure that the records are complete, accurate, and conform to accepted standards. Supervise the filing and retrieval of completed records.

Supervise the release of medical information in accordance with hospital regulations for preparation of insurance forms, census forms, death and birth certificates, etc.

Answer inquiries regarding information recorded in patient's charts and represents hospital in court cases involving medical or clinical records.

Supervise the preparation of various statistical reports as required and accumulates data used in preparation of reports such as morbidity, birth, types of diseases treated, analysis of utilization of beds according to professional services and percentage of beds occupied, etc.

Retrieve data used for quality assurance studies conducted by medical staff or ancillary services. Provide information to be used in infection control programs.

Maintain a program for retention of records and reports to ensure preservation and to meet governmental guidelines.

Participate in in-service education programs by arranging for and/or conducting sessions on procedures and policies and information available in the department, release of information, and consent to care.
Design systems and methods to make medical records data more accessible.

Act as secretary for Medical Staff committees.

Assist medical staff in research, study, and preparation of material for publication in professional journals and for research projects.

May maintain the hospital library.

Performs other duties as assigned.

Qualifications

College degree plus successful completion of the Registered Record Administrator examination.

Must have a minimum of three (3) years experience at least one of which must be in a supervisory role.
